Position Profile

The Group Benefits Specialist is responsible for creating an exceptional experience with every interaction, as they support the ongoing plan administration and management of group benefit programs on behalf of CPA Insurance Plans West (“CPAIPW”).  CPAIPW has a small team of professionals that services its members on a non-profit basis.  CPAIPW offers Chartered Professional Accountants and Chartered Professional Accounting firms individual and group life, disability, health and dental products.  All CPAIPW team members are responsible for member service but are also asked to participate in marketing, sales, administration and other responsibilities.

Core Responsibilities

Part of a team servicing the CPAIPW client base to ensure all members receive the same level of exceptional and prompt service.
Documents all communications by phone, email or in person, while providing prompt and thorough responses to stakeholders.
Initiates service calls with clients to actively engage with them, and proactively support their needs.
Develops strong relationships with all clients, based on a foundation of trust and mutual respect.
Provides Administration and Claims Support as further defined in the below sections.

Administration Support

Advises on any benefit questions from plan administrators and/ or employees.
Trains administrators on the use of the CPAIPW CRM platform.
Maintains member records, confirming changes performed by clients, and/or and performs changes or corrections directly in the CPAIPW CRM platform, including: Enrollments, Member Updates, Salary Changes and Terminations, prior to the billing cut off.
Audits work performed by plan administrators, and by peers, prior to the billing cut off.
Ensures all necessary paperwork has been received, and is valid, before electronic and hard copies are scanned and stored.
Prepares enrollment welcome packages for delivery to new members, as well as termination and transition packages for members leaving a group plan.
Provides ongoing communication and updates with clients on leave of absences to ensure coverage is updated and/or provided where applicable.
Recommends benefits that employers/employees may be eligible to apply for based on their situation and ensures employees and/or plan administrators are aware of all eligible benefits.
Distributes mail (and couriered items) internally, for scanning and processing. Scans documents as required.

Claims Support

Provides appropriate forms to ensure claims are processed within the insurance deadlines.
Assists with claims as a liaison with the client, member and insurance providers as required.
Investigates solutions to improperly paid claims, such as incorrect plan design or termination dates, etc.

Interaction with Members

The Group Benefits Specialist will interact primarily with the members, plan administrators, employees and decision makers of a group benefits plan, as well as the insurance providers insuring them.

The majority of the interactions will be done over the phone or by email, with some opportunity for in-person meetings, training sessions or presentations/conference attendance as needed.

Working Conditions and Environment

Core Office Hours are 8:30 – 4:30 with no one hour for an unpaid lunch break. These requirements allow for some flexibility in time, while ensuring the client’s needs are being met during regular business hours.

Requirements:

Knowledge and Skills Required

In order to effectively perform the role of a Group Benefits Specialist, this person must possess the following skills:

• Exceptional people skills, with a genuine desire to support and help others

• Ability to prioritize and multi-task, to ensure all service aspects are delivered on time

• Ability to work independently, ensuring timely and exceptional completion of all tasks

• Ability to work well within a team to ensure the common goal of exceptional service is always met

• Proficiency with Microsoft Office and ability to learn new software

• Understanding of group benefits administration and requirements

• Some aptitude with basic bookkeeping

• Attention to detail

Required experience:

• Group Benefit Administration: one (1) year or comparable experience

• A BCOM or BAdmin would be considered an asset but not necessary for the position

• A CPA, CMA, CGA or CA would be considered an asset but not necessary for the position
